Email Reminders

The 'Appointment Reminder Email' is an email that reminds your patients about their upcoming appointment. By default the email template has the appointment's date and time attached.

This is another event that allows for the 'include web forms when due' functionality (formerly only found within the 'Appointment Booked' event).

To access and configure this event:

  1. Login as an 'Administrative' User.
  2. Navigate to 'Settings'.
  3. Click on the 'Texts & Emails' tab
  4. Choose the 'Timeline' sub-section.
  5. Select the 'Appointment Reminder Email' event.

You will then be presented with the following options:

  • Enable/Disable the event.
  • Choose how many days before the appointment to send the email.
  • Choose to 'not' send the email based on appointment creation date vs. actual appointment date.
  • Set the time of day to send the email.
  • Enable/Disable including web forms for new and existing patients when due (you can send any combination of forms or for a better patient experience, consider nesting forms).
  • Email Subject Line.
  • Enable/Disable including a calendar invite.
  • Edit Email Template Options (with and without forms).
    • If enabled, two separate email templates are included. The default email is the one where no forms are included. When 'Include web forms when due' is enabled, the second edit email template option appears.

In my example below, we have the reminder email being sent two weeks prior, sending at 21:00 (9:00 pm), including the Health History Update form if forms are due, and including a calendar invite for both emails with and without forms attached.

✅Note: The reminder email helps your patients stay on track by nudging them about their upcoming appointment and, if needed, prompting them to complete any required forms.
