Flex checks insurance benefits using two sources:

1. Clearinghouse data (EDI)
2. Online insurance portals (requires FlexVerification Pro subscription)

Using portal data gives you access to more complete benefit information. Available details vary by portal and may include:

• Full patient insurance history
• Benefit details for the most commonly used CDT codes
• Frequency limits, waiting periods, and alternate benefit rules

This data is included in the benefit PDF stored in the patient’s Imaging folder designated by your office administrator.

Provider Used for Verification

Flex uses a provider’s National Provider Identifier (NPI) to verify coverage. The provider used depends on how the verification is processed.

On-Demand Verifications

When you click ‘Verify’ in the Flex patient profile.
 

• Uses the Primary Provider in the patient’s profile.
• Check or change this provider in Open Dental↗️
  1. Click Family.
  2. Double-click Patient Information.
  3. In the Billing and Provider(s) section, click Primary provider.

Automatic Verifications

• Uses the Provider on the appointment in Open Dental.                                                          
• Check this in the Appointments module↗️
  • Double click the appointment.
  • Use the Provider drop-down to view and select a different provider.
  • Note: Moving the appointment to a different column is another way to change the appointment provider.

What to Expect When Insurance Verification is Completed

After verification is successful, you will see:

• A PDF in the patient’s Open Dental Imaging module and Flex Patient Paperwork (within 5 minutes). 
• Current dates for: Eligibility Last Verified, Effective Date(s), and Benefits Last Verified in Open Dental.
• A new ‘Last Verified’ status in Flex.

Statuses Include:

• Not Verified — No attempt has been made.
• Verified — Verification was successful.
• Error — An issue occurred. Flex will display one of the following messages:

Error Message	What It Means	What To Do
Provider Name Error	The provider’s name does not match the payer’s system	Fix the provider’s name in Open Dental
Provider Not Authorized	The provider is not registered with the payer	Contact the payer to register the provider
Patient Member Name Error	The patient’s name is incorrect or has special characters	Correct the name to match the insurance record
Patient Member DOB Error	A birthdate is incorrect	Check the DOB of the patient or subscriber
Patient Group Name Error	The group number is wrong	Remove or correct the group number
Patient Member ID Error	The member ID is incorrect	Match it with what is on file with the insurance carrier
Duplicate Member ID	ID is used by more than one person	Add a valid group number
Patient Not Found	The patient info does not match the payer’s system	Confirm the insurance details with the patient
Payer Not Supported	Payer may not be supported or the electronic/payer ID is wrong	Check the payer ID or use another method
Payer System Down	The payer system is not responding	Try again later
Unknown or Server Error	Temporary issue with the payer or eligibility service	Try again in a few minutes
Retrying Automatically	Flex will retry the verification on its own	No action needed

Frequently Asked Questions

1. I do not see the Verify button in Flex.

• This button appears only when the Insurance Verification On-Demand setting is enabled. An administrative user must go to Flex Settings > FlexVerification and turn on the toggle. Learn how to enable this setting here: How to Set Up FlexVerification↗️

2. The Insurance Verification tab is missing in my settings.

• The tab only appears if your practice is enrolled in the FlexVerification service. If you believe you should have access or want to upgrade, please contact Support↗️ to confirm your current plan and inquire about enrollment.

3. I do not see any Verification Due icons in Flex.                          

• These icons appear based on the frequency set in your configuration. If you want patients to be due for verifications more often, lower the frequency in Flex Settings > FlexVerification > How often should a patient be due for insurance verification? 4. The “V” icon is missing from my appointments in Open Dental.                          

• The “V” must be added to each appointment view in Open Dental. Use the F-keys to switch between views. Here is a helpful guide to assist you: Appointment View Edit ↗️

5. The PDF is being saved to the wrong folder in Open Dental.

• To change where PDFs are saved, admin users can go to Flex Settings > FlexVerification and update the designation folder. Here is a helpful guide to assist you: How to Set Up FlexVerification↗️

6. The verification failed and I received an error.

• Refer to the ‘What to Expect’ section above to find out what caused the error and how to resolve it.

7. The profile says “Verified” but there is no date.                                         

• A user may have removed the verification history from Open Dental. When the history is deleted there, it also removes it from Flex.

8. Why do some PDFs have more information than others?

• Each payer provides different levels of detail. For example, Delta Dental often includes full procedure history, while others, like United Healthcare may not. The content of the PDF depends on the payer’s system.

Using Flex for insurance verification helps your office stay informed and well prepared. By understanding how data is collected, how providers are selected, and what to do when something goes wrong, your team can reduce delays and improve the patient experience.
