How to Process an On-Demand FlexVerification

Instant insurance verification saves time and reduces last-minute issues. Instead of calling or visiting multiple portals, you can confirm insurance coverage directly from the patient’s profile in Flex. This creates a faster, more reliable workflow and ensures the schedule runs smoothly. 

In this guide, you will learn how to process an on-demand insurance verification, where to find PDF breakdowns, and how Flex updates Open Dental.

Before You Begin

Ensure the following are in place:

  • The provider’s first and last name, as well as NPI, are in the Provider Setup of Open Dental. Here is a helpful guide from the Open Dental Support Center↗️
  • Accurate patient and insurance data are on file in Open Dental. The following information is required:
    1. Subscriber first and last name
    2. Subscriber date of birth
    3. Subscriber ID
    4. Patient first and last name (if different from the subscriber)
    5. Patient date of birth (if different from the subscriber)
    6. Relationship to the subscriber (self, dependent, spouse, etc.)
    7. Insurance carrier name
    8. Electronic/Payer ID

Once the information is saved in Open Dental, Flex can complete the verification process.

 

Processing an On-Demand Verification

  1. In the Flex Patient Profile↗️, click Verify. FV-OnDemand-Button.jpg
    • Verifications take only a moment. If you notice a slow down this could be related to your internet connection or payer portal.
    • Note: When an on-demand verification is processed, Flex uses the primary provider designated in the Patient Information of Open Dental. For more information, check out 'Provider Used for Verification' in: FlexVerification: Payer Details, What to Expect, and FAQ↗️
  2. Review Results:
    • In the Flex Patient Profile the Last Verified Status will update. FV-LastVerifiedStatus-Flex.jpg
    • A PDF copy is saved in Patient Paperwork. Here you will see which folder to check in Open Dental.             PP_VerticalToolbar_Forms.jpg
    • The PDF copy is also saved in your Open Dental Imaging module. Use this information to update coverage details in Open Dental.
    • In the Open Dental Patient Information Insurance Plans window Flex will update the Eligibility Last Verified Date, Effective Dates, and Insurance Last Verified Date. OD_Benefit Info_FV Dates Updated.jpg

These updates help your team see at a glance when insurance was last checked and confirmed.
