A full schedule doesn’t happen by chance — it’s built by teams who know how to connect the right patients to the right openings at the right time. Advanced filters are designed to help you quickly generate actionable patient lists so you can fill openings, boost production, and keep the schedule running smoothly. Whether you’re filling last-minute cancellations for the week, or planning ahead, filters can be layered or removed as needed to fit your goal. Once you build your list, you can mass text patients to fill the schedule with less stress and more confidence.
Access
Select the patient list icon:
Select advanced filters:
When the advanced filters button is clicked, the advanced filter drawer will open on the right hand side of the screen.
Filters
Patient Information:
- Patient status
- Insurance carriers
- Maximum of five carriers can be selected at once
- v7.9.0 — released 3/10/25 — introduces a new filter that enables you to select ‘No Insurance’ as one of the 5 options.
- Phone number
- The full phone number must be entered in the search as partial numbers will not display results
- Date of birth
- A two day year will not produce results
Planned Treatment
- Find patients with certain procedures planned.
- Select up to 3 codes
- Exclude patients with scheduled appointments that contain the selected code(s)
Appointment Date
- Patients scheduled on a specific date
- Patients scheduled within a specific date range
- Patients with appointments on the ASAP list
Provider
- Default provider in the patient family file
- Provider on the appointment
- Can filter by provider and hygienist
Recare:
- Patients previously seen within a specified time frame
- Overdue by recall x number of days

Exclude patients with future recare appointments
- We will determine recall codes based on the recall types selected in your Flex recall settings and the codes listed within those recall types in Open Dental

- Appointment Status - A drop-down was added under 'Appointment Date'.
- Choose from: Scheduled, Broken, Unscheduled
- Procedure Category - Included with planned 'Treatment' next to 'Code'
- Options coincide with your Open Dental treatment categories such as Fillings, Crowns, Perio, etc.

- Two sliders were introduced allowing you to set the minimum and maximum values for both amount and duration. To keep all options open, leave the slider handles at the default positions.
The patient name/email and insights filters will remain outside of the advanced filter drawer.
Apply/Clear Filters:
To apply the selected advanced filters users need to click "Apply Filters" at the bottom of the advanced filter drawer.
Clicking "Clear Filters" will clear all filters within the advanced patient drawer.
