Legacy Payments users may notice differences in functionality, layout, terminology, and workflow steps.
Use this guide to locate statement email and text templates. Use defaults or tailor messages to fit your office's tone and communication style.
Edit Templates Option 1: Patient Profile
- Open the patient profile.

- Click Send Statement.

Choose services to include in the patient’s statement.

Select the Text or Email statement options to open template settings.

Use the pencil icon to open edit windows.

Type a new message. Consider using handlebars to tailor messages to each patient.

- Click Save when finished.
- Note (Legacy 3rd-Party Integrated Payments users): After saving your new template message, regenerate the statement before sending so the updated message appears. This step is not required for practices enrolled in FlexPayments powered by Stripe.
Edit Templates Option 2: Patients with Balances
- Open the Patients with Balance tab in Payments.

- Set desired filters and generate the balance list.

Check the box next to multiple patient's names.
- Click Send Selected Statements.
- Choose ‘Edit Templates’ to open template settings.
- Use the Text and Email icons to switch between template types.
- Click Save in the bottom right when finished.
- Note: Templates in the Patient Profile and Patients with Balance use the same source. Changes made in one location appear in the other.
Master Email Template (Permission Required)
The Flex user must have permissions in Flex to access the master email template. To update a user’s status, view this article: How Do I Change User's Permissions?↗️
- Log into Flex as Admin.
- Open Settings.
- Select the FlexPayments or Payments tab, depending on your subscription type.
- Scroll down and click Edit Statement Email or Edit Re-Sent Statement Email.
- Edit Statement Email: This is the email patients receive when you send a statement by email. Click the ‘Edit Statement Email’ button to adjust the message to match your office’s tone.
- Edit Statement Re-Sent Email: This template is used when a statement email is resent to a patient. Use the ‘Edit Re-Sent Statement Email’ button to modify the message.
