How to Set Up Recurring Payments in Flex

A recurring payment plan can either be standalone in Flex or linked to your practice management system. If linked, the data entered in your Open Dental will determine the charge amounts and dates. Payments taken through this feature will post to your patient’s Open Dental Account.

Note: The Flex user must have permissions in Flex to set up Recurring Payments. To update a user's permissions, view this article: How Do I Change User's Permissions?

Creating a Recurring Payment Plan:

  1. To access: login and click the Payments icon in the top left: Arrow to Payments.jpg
  2. Navigate to the ‘Recurring payments’ tab: Recurring Payments Highlight.jpg
  3. Select 'New Plan': Recurring Payments New Plan.jpg

 

Option 1) Creating an 'Un-Allocated' [Standalone] Recurring Payment Plan:

  1. Select your patient:Recurring Payments Select Patient.jpg
  2. Leave 'Link to a payment plan' blank.
  3. Enter the Total Amount for the payment plan.
  4. Choose the Number of Payments (e.g., 6 payments).
  5. Set the Payment Frequency (Monthly, Weekly, Every Other Week, First of the Month, Annually).
  6. Choose a Start Date by selecting it from the calendar icon or entering it manually.
  7. (Optional) Add Notes if needed. The text entered here will be included in the Open Dental payment note when posted automatically.
  8. Assign a Card (pictured below):
    1. Click 'Manage Cards' to view stored cards or add a new one.
    2. If no card is on file, click 'Use New Card'.
    3. Ensure the correct Terminal Device is selected.
    4. Capture the card by tapping Capture Card or enter the patient's card details manually.
    5. The terminal will prompt a test transaction (0 or 10 cents); this will not charge the patient.
  9. Click 'Submit' to finalize the payment plan.

 

Option 2) Creating an 'Allocated' [Linked] Recurring Payment Plan:

Note: This option requires an Open Dental Payment Plan on file in the patient's Account. For questions, please contact Open Dental.

  1. Click 'New Plan' (pictured above).
  2. Select your patient (pictured above).
  3. Choose an existing payment plan from the dropdown menu: Recurring Payments Link to OD.jpg
