Mass Statement Automation

Generally available in version 6.16.0 and above

 

Mass Statement Automation allows you to configure a set cadence with customized filters to generate a list of patients who should automatically receive statements. This alleviates the need for you to manually generate the statements and send them, either individually or in bulk. 

 

 

How to access:

Flex Settings > FlexPayments or Payments tab depending on your subscription > In the bottom third of the page, a "Send Automated Statements" toggle is added

Default behavior: OFF

 

When toggled on, the "View Settings" box appears. This is where filters and sending cadence are established.

These filters match the Patients with Balance filter in the $ tab for manually sent statements 

Billing Type: 

In OD, users can specify billing types for circumstances when someone may be a family friend or may be in collections. Flex will pull the list of billing types directly from OD which can be customized by the practice within OD. (Standard Account is the OD default)

Balance Age:

Balance Age is calculated based on the date of the procedure code. If I set a procedure code complete on 2/1/24, and today is 2/16/24, the age of my balance is 15 days. 

 

Last Statement:

Refers to the length of time that has passed since a patient received a statement FROM FLEX. If an office manually sends a statement in OD, Flex does not know about it and it will not apply to our calculations.

 

Days:

Refers to the days of the week they would like statements to be sent. Multiple days can be selected.  

 

Time:

Refers to the time of day statements should be set out. The time of day is in the user's local time.

 

By:

Refers to the method the statement will be sent - text, email, or both.

 

 

Once settings are saved, the next scheduled date will display:

 

Once sent, statements will follow typical behavior by logging in OD ledger (if enabled) and displaying in the statements tab.
